This policy explains how TrafWise handles personal information when you request traffic control through TrafWise, including through an AI assistant using the TrafWise connector. We handle personal information in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth). The TrafWise software used by traffic control companies is covered by our main Privacy Policy.
1. What we collect
- Account: your email address, and your name if you give it. We check your email with a one-time code; we never ask for a password.
- Requests: the site address, dates and times, the kind of work, services needed, road details, your phone number, company and purchase order number, and notes you add.
- Activity: the status of your requests, quotes and messages, and which AI assistant app connected (for example “Meta Muse”).
- Technical: security logs such as IP address and timestamps, used to protect the service and stop abuse.
We don't ask for payment card details, government ID numbers or health information.
2. How we use it
- To send your request to traffic control companies and keep you updated on it.
- To email you confirmations, quotes and updates, and to give support.
- To keep the service secure and prevent spam, fraud and misuse.
- To improve TrafWise, using summary information.
We don't sell your personal information and don't use it for advertising.
3. Who we share it with
- Traffic control companies (Partners): each request, including your name, phone, email, company and site details, goes to up to three Partners that cover your area so they can contact you and quote. Each Partner handles it under its own privacy obligations.
- Your AI assistant: the information our tools return, such as request status and quotes, is shown in your conversation and handled under your AI provider's privacy policy.
- Service providers: Google Cloud / Firebase (database), Vercel (hosting) and Amazon Web Services (email, Sydney region), which process data for us under contract.
- When required by law, or to protect people's safety.
4. Overseas storage
Some of our service providers may store or process data outside Australia, including in the United States. We take reasonable steps to make sure they protect it.
5. Security and retention
Sign-in codes and access tokens are stored only in hashed form, and sign-in codes expire after 10 minutes. We keep request records while your account is active and for as long as needed for records and legal obligations (usually up to 7 years). You can ask us to delete your account and requests unless we must keep them by law.
6. Your choices and rights
You can disconnect TrafWise from your AI assistant at any time. You can ask to access or correct your personal information, or ask us to delete it, through our support form. If you're not happy with how we handle a privacy complaint, you can contact the Office of the Australian Information Commissioner (oaic.gov.au).
